If this sounds like you, you’ve come to the right place!Your roleThe Head of the Office of the Rector serves as a key advisor and strategic partner, supporting the Rector and the Rectorate in the development, implementation, and execution of university-wide initiatives and policies. In addition to managing the Office of the Rector and the Office of Statistics and Institutional Research, the Head of the office of the Rector is responsible for coordinating cross-functional teams and roles, high-priority projects, and ensuring alignment across university entities and stakeholders.This is a unique opportunity to be at the forefront of leadership in higher education, contributing to shaping the future of the University of Luxembourg. As the Head of the Office of the Rector, you will work closely with the University Rector, the Rectorate and their respective dynamic teams, and the wider University management. Teamwork is for us not just a word but our culture.You will bring specific expertise and be directly responsible for:

  • Office oversight and team management: Manage the daily operations of the Office of the Rector, ensuring efficiency and effectiveness in support of the Rector’s priorities and activities. Lead, coach, motivate and co-ordinate diverse teams and professionals
  • Strategic advisory: Provide counsel to the Rector, anticipate potential issues, and contribute to strategic planning initiatives, aligning projects with the university’s mission and vision
  • Rectorate team meeting coordination: Oversee the planning, preparation and coordination of key Rectorate decision items, support the preparation of Board items, as well as ensure relevant follow ups
  • Project management: Oversee high-impact projects and initiatives sponsored by the Rectorate from concept through completion, coordinating across departments to achieve objectives
  • Internal communication: Facilitate communication of Rectorate strategic priorities within the university entities/departments and collaborate to translate them into clear operational actions
  • Data-Driven Decision-Making: Lead research, analysis, and reporting efforts to provide insights and recommendations to the Rector and senior leadership
  • Crisis and Issue Management: Act as a strategic advisor during critical moments, contributing to the development and implementation of crisis management and response plans as needed

Your profile

  • Master’s degree or higher in a related field (such as public administration, higher education leadership, business administration). A PhD’s degree is considered as a strong asset
  • Minimum of 5+ years in a senior administrative role with experience in strategic planning, project management, or executive-level coordination. Experience in an academic or research working environment is mandatory
  • Strong ability to interact with cross-functional teams and influence decision-making processes in a complex organization
  • Team-oriented working style, and innovative, creative and collaborative mindset
  • Excellent written and verbal communication skills, including the ability to draft high-level strategic documents and briefings, deliver compelling presentations, and effectively engage with diverse internal, and occasionally external, stakeholders
  • Proven experience in data analysis and performance metrics, with the ability to translate findings into actionable strategies
  • Flexible and solution-oriented, with the ability to prioritize in a fast-paced environment and respond effectively to changing needs and crises
  • Languages: You must be proficient in French and English (verbal and written); German is an asset
