Job description

Operational Support tasks

  • Oversee the use of collaboration platforms, document repositories, and task management tools.
  • Draft reports and documentation, meeting notes, project updates, and performance summaries for leadership and stakeholders.
  • Maintain operational processes by developing and refine administrative procedures to improve efficiency and consistency across the team.
  • Coordinate the full lifecycle of committee membership, from managing vacancies and selection process to following up on membership requirements (e.g., membership status, conflict of interest declarations).
  • Coordinate the endorsement process.
  • Ensure timely preparation and delivery of documents for different stakeholders, including following up on requests for specific certificates, etc.

Events and Projects tasks

  • Support the planning and execution of events from A to Z, including hotel bookings for Faculty or Committee members, and managing logistics and suppliers.
  • When working with suppliers, place and manage orders for events-related needs, including equipment, supplies, catering, always mindful of deadlines, budgets and quality.
  • When organising events (in particular workshops), coordinating equipment deliveries.
  • Assist in managing department/project mailboxes, supporting the project coordinators by responding to inquiries from stakeholders or redirecting them as appropriate.
  • When required, provide on-site support during events, including setup, troubleshooting, and coordination.
  • Assist with post-event evaluations and reporting.

European Association in the Care sector polyvalent position with possibility to grow

  • Bachelor’s degree in relevant field, e.g., Project Management, Business Administration, Event Management, etc.
  • Minimum 3 years of experience as Personal assistant, event coordination or project assistant, or a similar role.
  • Strong Organizational Skills – Ability to manage multiple tasks, calendars, and priorities efficiently.
  • Proficiency in Office Tools – Skilled in Microsoft Office Suite (Outlook, Excel, Word, Teams) and other collaboration platforms. Willingness to learn project management tool and inhouse CRM.
  • Attention to Detail – Ensures accuracy in scheduling, documentation, and reporting.
  • Problem-Solving Mindset – Proactively identifies issues and implements practical solutions.
  • Stakeholder Support Approach – Provides responsive and helpful support to internal and external stakeholders.
  • Initiative and Proactivity – Demonstrates a proactive approach by anticipating team needs, identifying potential bottlenecks, and preparing solutions in advance.
  • Communication skills – Clear and professional written and verbal communication across diverse teams and outsiders. Excellent knowledge of oral and written English, Dutch and/or French is an asset.
