With more than 130 years of financial experience and over 22,000 partners, we serve the world’s most sophisticated clients using leading technology and exceptional service.Job DescriptionRole/ Department:The Admin will report directly to the team leader and will be responsible for managing her/his own portfolio of clients (regulated and unregulated funds such as UCITS, UCIs, SIFs, SICARs, RAIFs, SCSp set up as under different legal structures such SARLs, SA, SCA, SCS, SCSps, FCPs etc). She/he will ensure that clients are provided with an efficient service in accordance with Company and Departmental procedures while growing within a team and as a professional.The Corporate and Domiciliary Services Department is comprised of 13 partners, all working together closely to achieve great results and excellent service to our client.The key responsibilities of the role include:Manage the statutory requirements of a portfolio of Luxembourg (and other jurisdictions), listed and unlisted, entities, with supervisionManage and mitigate risk, within the day to day activities and escalate as appropriateMaintain statutory books and regulatory filings for the assigned portfolio of clientsOrganise, prepare agendas for and attend client board / investor / committee meetingsProduce minutes, action points and follow up for clients within agreed deadlinesReview of corporate documentation for the portfolio of clients (articles, agreements, prospectus, financial statements, service level agreements etc.) from a corporate secretarial perspectiveLiaise with internal and external parties as needed (i.e. client, regulators, lawyers, notaries, embassies, client relationship delivery managers, operational teams etc.)Attend on-boarding / client service review meetings (as necessary)Ad hoc tasks as requestedSkills/ Qualifications:The successful candidate will benefit from having:University qualificationIn-depth experience working in a Luxembourg corporate environmentFluent in English – French and/or German advantageousStrong drafting skills in EnglishExperience attending large board meetings and taking minutes with tight timelinesExperience of Microsoft Outlook and OfficeKnowledge of Diligent Boardbooks or any other board packaging software would be an advantageExperience with client facing situations and familiarity with the Luxembourg legal environmentStrong verbal and written communication skills, with the ability to interact with individuals at all corporate levelsAttention to detail and accuracyOrganisational skills with the ability to prioritise and escalate potential risksAbility to work in a team and with external partiesAbility to work autonomously in large partInterest in developing knowledge and skillsBasic knowledge on Northern Trust through publicly available means of information such as website, RCS etcWorking with Us:As a Northern Trust partner, greater achievements await.
