In this role, you will play a vital part in managing and producing high-quality, timely proposals for both domestic and international markets. You will also support the team with marketing and general administrative duties. The Bid Coordinator will report directly to the Bid Manager.Key Duties and Responsibilities
- Assist in managing the entire tender process, from initial concept through to post-tender interviews and clarifications.
- Support the preparation, compilation, and submission of pre-qualification questionnaires (PQQs), Expressions of Interest (EOIs), and Invitations to Tender (ITTs) for both domestic and international markets.
- Coordinate with internal teams and stakeholders to ensure clarity on tender deliverables, deadlines, and expectations; attend tender review meetings as required.
- Work closely with the Bid Manager to maintain and update the Document Management System, Bid Libraries, and key performance indicator (KPI) information.
- Support sales, marketing, and administrative tasks, including the preparation of presentations, marketing materials, and electronic tender files.
Key Requirements
- Proven experience in a Bid, Tender Coordinator, or Administrator role.
- Strong ability to multi-task and meet tight deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with a professional approach to interacting with stakeholders.
- Highly self-motivated, detail-oriented, and proactive.
- Ability to work independently and collaboratively within a team.
- Exceptional planning and organizational skills, with a high level of accuracy.
- Proficiency in IT tools, including Word, Excel, PowerPoint and SharePoint.
- Experience of using InDesign, Adobe Creative Suite, or Canva is an advantage.
