You will become the right hand of the manager and provide executive support to maintain a high level of leadership – a central and important part of our exciting projects within the team in Ireland and globally.You will manage communication between upper management and employees, coordinating with internal and external executives on various projects & tasks and plan and orchestrate work to ensure the Managing Director’s priorities are met, organizational goals are achieved, marketing and branding, and best practices are upheld.We offer you an exciting and dynamic role with close collaboration with customers, partners, other departments and teams at Hitachi Energy both locally and globally.Your responsibilitiesCoordinate scheduling and extensive calendar management, as well as the management of content and flow of information to senior executives.Arrange internal and external events, including travel arrangements, itineraries, accommodation, conferences, and visiting speakers.Assist in the development and implementation of marketing and branding strategies.Debt chasing a list of clients who owe money to the companyIssuing copy invoices and billing statements to clients, and following up on these documents where appropriateKeeping track of all payment confirmations/remittances and checking the bank to ensure payment is receivedCommunicating with customers regarding their outstanding balances and payment deadlinesCollaborating with the sales and service departments to resolve billing disputesProviding excel reports to the AR BP for UK and IE of status on invoices monthlyReporting via dotted line to the Front Office Finance Manager for UK and IE on AR tasksSupport the creation of marketing materials, including brochures, flyers, and social media content.Help manage and update the company’s website and social media profilesManage professional and personal service support and scheduling for the Country Manager, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.Organize team communications and plan events, both internally and offsite.Provide administrative and management support, such as meeting minutes, preparation of presentations, spreadsheet creation, and maintenance of administration systems.Research, compile, verify, and analyze information and prepare special reports, presentations, organization charts, process maps, correspondence, etc.Coordinate meetings, agendas, minutes of meetings, actions, and follow-up.Your backgroundExperience as an Administrator or worked within administrative sales role or similar environments.Strong time-management skills and the ability to organize, prioritize and coordinate multiple projects at once.Great written and verbal communication skills in English is required.Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.Knowledge about and experience of working in our business systems, for example Workday, SAP HR, Easy Procurement, Fieldglass, MyIS, Teams events, Visio is a plusExperience developing internal processes and filing systems is also a plus.What We OfferFlexible working timeHealth care and wellness allowanceFantastic career possibilities within Hitachi Energy both within Ireland and globallyMentor to support you throughout onboard phaseVarious trainings and education supporting employee developmentDiversified companySupplementary compensation for parental leaveMore About UsBring your very own sense of pride and purpose as you help us drive forward the Fourth Industrial Revolution – creating a sustainable future for our planet, an your career.
