Guildford (hybrid working)£28,000 – £34,000PermanentOur client is recognised as one of the UK’s leading law firms and they are currently looking for an experienced Legal Secretary to join their Employment, Pensions & Immigration department.The main purpose of the role is to provide a high-quality, professional support service to the team which consists of 4 partners and a wider team of 13 legal professionals, resulting in the overall team operating smoothly and efficiently. Working alongside one other Secretary the role-holder will support the team with a broad range of secretarial, administrative and legal-process tasks. Strong IT proficiency is required as involvement with the billing process and other key IT systems is an integral part of the role.Responsibilities: –
- Sending out fee updates and invoices to clients on behalf of the lawyers
- Using the New Business Introduction system to carry out conflict searches and to open new matters
- Using the client relationship software, to update contact details and the client data base and to record business development and marketing activity, including referrals
- Assist in answering telephone calls promptly at all times and taking messages and contacting clients as needed, especially in relation to assisting with new enquiries
- Act as a point of contact for clients in lawyers’ absence, as required
- Preparing client engagement letters and other legal documents and dealing with signature of such letters (typically via DocuSign)
- Provide a comprehensive, accurate and timely word processing service for the creation and amendment of documents, pitches and presentations using Word, Excel and PowerPoint
- Assisting with all travel and accommodation arrangements and prepare all necessary documentation to support lawyer business trips
- Manage and file emails and carry out management of e-post and correspondence
- File management, including scanning and filing documents and notes electronically
- Keep lawyers’ diaries up to date in Outlook and arrange internal and external meetings
The ideal candidate will have previous experience as a Secretary/PA preferably within a legal or professional services environment. You will have a proven ability to work under pressure to tight deadlines and the ability to prioritise effectively. You will be highly organised with excellent attention to detail and experience of dealing with a high volume of document production in a regulated environment.
