Applicants should be courteous, highly motivated, pro-active and good team players, able to project a positive and friendly image to patients/visitors.These posts are full time/part time . Each of the posts available may be suitable for job share. Part Time will also be considered (over 5 days).Main duties of the jobThis will involve working on reception (front desk), back office function including processing repeat prescriptions, scanning, summarising, filing medical records.etc. The job will be varied and time will be split between the roles. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:a. Maintaining and monitoring the practice appointment systemb. Process personal, telephone and e-requests for appointmentsc. Answer incoming phone calls, transferring calls or dealing with the callers request appropriatelyd. Action all incoming faxese. Signpost patients to the correct servicef. Process incoming and outgoing mailg. Initiating contact with and responding to, requests from patients, team members and external agenciesh. Process referrals to external agencies such as secondary care using the electronic referral system (ERS)i. Process calling letters are requestedj. Process all DNA letters in accordance with current policyk. Action GP2GP tasksl. Read code data on EMIS Webm. Photocopy documentation as requiredn. File and store records as requiredo. Data entry of new and temporary registrations and relevant patient information as requiredp. Input data into the patients healthcare records as necessaryq. Scanning of patient related documentation and attaching scanned documents to patients healthcare recordsr. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative teams. Manage all queries (including administrative queries) as necessary in an efficient mannert. Carry out system searches as requestedu. Maintain a clean, tidy, effective working area at all timesv. Monitor and maintain the reception area and notice boardsw. Support all clinical staff with general tasks as requestedSecondary ResponsibilitiesIn addition to the primary responsibilities, the medical administrator may be requested to:a. Partake in audit as directed by the audit leadb. Produce meeting agendas and record the minutes of meetingsc. Support administrative and reception staff, providing cover during staff absencesd. Complete opening and closing procedures in accordance with the duty rotae. As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficientlyf.
