We’re looking for an Office Manager who brings exceptional organizational skills, a proactive mindset, and a warm, service-focused approach. You’ll be the backbone of our daily operations, ensuring smooth processes, welcoming environments, and seamless support for our team and clients.With your attention to detail and collaborative spirit, you’ll handle a broad range of responsibilities, from front desk management to event coordination, helping us keep LOOP running at its very best.Requirements

  • Manage Front Desk Operations: Answer phone calls, keep the reception area tidy, handle couriers, sort and distribute mail, and ensure a professional first impression.
  • Coordinate Meetings and Hospitality: Prepare client meetings, book and set up meeting rooms, organize catering, and warmly welcome guests and clients.
  • Support Business Travel: Assist with coordinating and booking national and international business trips for the team.
  • Organize Events: Actively support the planning and execution of internal and external events, contributing creative ideas and meticulous organization.
  • Oversee Office Logistics: Manage general office duties, including pool car administration, office appearance, and collaboration with facility managers and cleaning staff to maintain high standards.
  • Maintain Supplies and Resources: Monitor office supplies, manage inventory levels, and handle procurement to prevent shortages.
  • Collaborate and Assist: Serve as the central point for internal requests, support all team members across LOOP offices, work closely with the Salzburg Office Managers, and handle diverse administrative tasks with flexibility and discretion.
  • Valid category B driving licence (Austria) would be required.
  • Fluency in English and German language is required.
