• Front Desk and Patient Care: Actively manage incoming inquiries through our booking channels, such as the website, WhatsApp, phone, and email.
• Advise potential patients on our medical concept in close collaboration with the medical team to optimize treatment schedules and capacity utilization.
• Send treatment offers and ensure consistent follow-up.
• Manage the entire booking process for confirmed new patients in cooperation with the medical team.
• Collaborate closely with the Director of Business Development to maintain the referral network and handle related patient inquiries.
• Appointment Management: Organize and coordinate appointments, ensuring efficient and punctual scheduling, including follow-ups and last-minute changes.
• Reception Duties: Welcome patients and manage the check-in process, including reviewing and distributing necessary documentation.
• Documentation and Data Management: Ensure patient data is complete and accurate, record information in the practice software, and manage invoicing.
• Communication: Handle feedback and complaints professionally and empathetically to ensure high patient satisfaction.
• Technology Use: Utilize online booking systems, digital patient records, and communication tools.
• Continuous Improvement: Propose suggestions to modernize processes and optimize patient coordination.
• Quality Standards: Ensure all processes run smoothly, are documented, and are patient-focused.

As the Patient Relations Manager, you will be the organizational heart of patient coordination, significantly contributing to patient satisfaction and practice efficiency.Requirements

• You have completed training as a secretary, receptionist, concierge, guest relations officer, or equivalent. A university degree is an advantage.
• You handle patient interactions professionally and kindly from the first contact to their discharge, tailoring your approach to individual needs.
• Experience in the healthcare sector is a plus, but we welcome your curiosity to learn about it.
• You are a responsible, flexible, and resilient individual with a well-groomed appearance and friendly, professional demeanor.
• You are communicative, empathetic, and enjoy teamwork.
• You thrive in a medical environment catering primarily to self-paying patients.
• You are motivated, eager to learn, and open to new experiences.
• You possess excellent German and English skills. French and other languages are an advantage.
