About the roleWe’re looking for a hands-on Payroll Manager who thrives on structure, precision, and driving change. This is a key role in shaping how payroll is managed across Instabee’s five European markets. From leading a team to refining systems and automating workflows, you’ll be central to ensuring our payroll operations are compliant, efficient, and future-ready.If you enjoy turning complexity into clarity and see opportunities where others see obstacles – we’d love to hear from you.Some of the things you will doAs Payroll Manager, you’ll be responsible for managing in-house payroll operations in Sweden – including both blue-collar (with Transport CBA) and white-collar employees – while overseeing coordination with local payroll providers in Finland, Norway, Denmark, and the Netherlands. You’ll lead a team of four payroll professionals based in our Stockholm HQ and work closely with HR, Finance, and local teams to ensure payroll accuracy, compliance, and smooth execution.
You’ll also play a key role in shaping how we work – continuously improving, automating, and future-proofing our processes.This includes:

• Ensuring payroll is accurate, timely, and compliant with local laws and regulations. This includes external reporting to local authorities.
• Allocating responsibilities across employee groups and markets
• Supporting audits, reporting, and year-end reconciliations
• Driving process improvements and evaluating automation opportunities
• Leading or supporting payroll-related projects like system upgrades or policy rollouts
• Staying up to date with payroll legislation and best practices
• Collaborating on cross-functional initiatives related to compensation, HRIS, or finance integration
• Act as a system owner for payroll system (Kontek) and time reporting system (Planday)

What we’re looking for

• 5+ years of experience in end-to-end payroll processing
• Experience in managing payroll across multiple Nordic/European countries
• Deep knowledge of Swedish payroll, including Collective Bargaining Agreements (e.g. Transport)
• Strong skills in payroll systems and Excel (experience with Kontekis a plus)
• Confidence in working with HRIS (experience with Hibob is a plus)
• Fluent in both Swedish and English
• A structured, detail-oriented mindset with a hands-on leadership style
• Proven drive for change, process improvement, and automation

The cherry on top would be

• Experience leading system upgrades or payroll tool implementations
• Confidence in handling audits and cross-functional reporting
