You will become a member of the Collaborations Office within the Access & Collaborations group. The A&C group play a crucial role in managing and supporting the interactions between MAX IV and its academic and industrial users through access procedures and national and international collaboration projects.
The collaboration office coordinates MAX IV’s participation in several large European collaboration projects and the Marie Skłodowska-Curie PhD programme. Together with finance, the collaborations office is also part of the grants office and handles the registry and paralegal functions.Would you like to work at one of the brightest light sources in the world?MAX IV is looking for a Project Coordinator primarily supporting our PhD programme “PRISMAS” as well as supporting the EU project “NEPHEWS”. Project funding is currently available until end of 2027.PRISMAS is an EU-funded PhD network that supports 40 PhD students across eight Swedish universities, with secondments at MAX IV and in industry. PRISMAS is funded by the European Union through the MSCA programme. MAX IV is a coordinator of the project, with the role of creating and sustaining the PhD network during the project period until December 2027.The NEPHEWS project is a trans-national access program for large-scale research infrastructures (LSRI) in Europe. The aim is to give access to scientists from countries without their own LSRIs, with a focus on Ukraine, Africa, and Eastern Europe. Your role will involve supporting project execution, acting as a key contact point, managing deadlines, preparing documentation, and gathering information for reports.Your main work tasks will be
- Coordinate MAX IV’s involvement in the projects by overseeing follow-up tasks, reporting, documentation, and meeting organization
- For PRISMAS, you’ll assist with daily communication, management of the project (including secondments, setting up of the meetings), academic reporting, and organizing training events (such as Summer Schools and Journal Clubs). You will be the main contact point for students, Project Investigators (PIs), and the MAX IV staff
- For NEPHEWS, you will handle the day-to-day activities within the project and support our users with travel and accommodation reimbursements
To be successful in this role you need to have the following qualifications
- A scientific education background (master in natural sciences or another field of relevance for this position). Alternatively, you have experience as a research administrator in a relevant field
- Experience working in scientific collaboration projects, particularly with project administration and coordination
- You speak and write in English with very high proficiency (Europass C1-C2 level)
- Strong command of office tools, including data handling in Excel, and experience with web-based administration systems
- Skilled at documentation management
