The Pathology Blood Science Department is currently recruiting a Secretary/Supervisory role to provide comprehensive, flexible and highly efficient support to the department using a range of knowledge and skills.We offer an exciting and varied role with lots of opportunities to develop the successful candidate. The successful candidate must have good standard of English O level/GCSE or equivalent, minimum 1 years’ experience working in administrative and supervisory role. Advanced IT literacy with experience of using a range of IT systems to RSAIII/NVQIII level or equivalent experience is essential. Knowledge of medical terminology and hospital systems would be an advantageous.You will be working alongside pathway team leaders and coordinators, data entry clerks, and various other clinical and non-clinical staff to provide a high standard of administrative support across disciplines within the department.Time management skills and flexibility will be important qualities in order to balance the demands of a very busy workload as well as excellent communication and IT skills.Main duties of the jobKey tasks will include: Day to day supervision of clerical team, arranging clinics, appointment setting and follow up actions.   • Provide a high standard of secretarial and administrative support to the divisional Business Unit team.
  • Day to day supervision of the clerical officers.
  • Co-ordinate regular Management meetings, in advance and supplement with the production of agendas, minutes and action plan including effective minute-taking, transcription, and distribution at all meetings, including investigations and hearings.
  • Co-ordinate regular and ad-hoc meetings.
  • Ensure the effective co-ordination of the Blood Sciences diary/scheduler.
  • Provide effective management for the distribution and prioritisation of incoming mail/emails, for individual account and delegated Blood Sciences account.
  • Effective communication with members of the Blood Sciences Teams.
  • Awareness and understanding of sensitive information, always ensuring strict confidentiality.
  • Produce letters, memos, and associated documents to a high standard.
  • Monitor and maintain records for sickness and absence and annual/study leave for the clerical officers.
  • Support the Team Leader in the delivery of any regular and ad hoc, data / information requested by the management team, producing reports as required.
  • Co-ordinate any necessary clerical team rotas and maintains the Department databases producing reports as required, ensuring all relevant parties are aware.
  • Act as a liaison between the Blood Sciences teams and other departments across the Trust.
