This Sr. Associate, Administrative Services position is based in Upper Gwynedd as a part of GRACS US Subsidiary function within Research Laboratories. Our mission is to serve as a trusted regulatory center of excellence and lead successful interactions with FDA regarding select US topics, primarily including import/exports, drug shortages, user fee compliance, financial disclosure and freedom of information.Under the guidance of the GRACS US Subsidiary Executive Director, the core responsibilities for this position include and are not limited to the following:General administrative duties for one or more Executive DirectorsProviding administrative support to the US Subsidiary teamInteracting with company executives and internal/external clients both on-site and remotely to maintain workflowSupporting the departmental use of Team Sites, AI tools (e.g., Copilot, TalkGPTeal), Power apps and other collaboration software, as neededCompleting various work assignments (e.g., refining PowerPoint presentations, creating/maintaining team tracking tools, developing team building activities…etc.) with advanced analytical ability, independent judgment, creativity, problem-solving skills and limited supervisionScheduling travel, including complex, multi-leg and international travelScheduling and facilitating large events for the departmentCoordinating special projects within the division/area, as needed.Education:Required: High School DiplomaPreferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)Required Experience and Skills:Minimum of (8) years Administrative Assistant experienceMinimum of (3) years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)Demonstrated AI capability, advanced computer skills (Power Apps, MS Office Suite – Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAPExperience scheduling complex travel arrangements including multi-leg domestic and international travelDemonstrated experience with processing Visas/Passports.Advanced secretarial/clerical abilities with a history of high performanceDocumented experience as a strong performer in current and past positionsAbility to handle and prioritize a large number of simultaneous assignmentsExperience with event planning and coordinationExtraordinary attention to detailDemonstrated ability to be proactive and collaborativeOutstanding communication, writing, and people skillsExperience with financial and budget tasks#MSJRCurrent Employees applyCurrent Contingent Workers applyUS and Puerto Rico Residents Only:Our company is committed to inclusion, ensuring that candidates can engage in a hiring process that exhibits their true capabilities.
