- Contribute to the implementation and configuration of the document management system and associated processes and practices.
- Contribute to digital information lifecycle management processes and practices at Orion group level, including long-term preservation and accessibility practices for digital records.
- Provide expertise for managing the entire lifecycle of records/documents, from creation and active use to archiving and eventual disposal.
- Develop and implement digital archiving policies, procedures and governing documents in compliance with industry standards and regulations.
- Manage and maintain digital archives, ensuring proper organization, storage, and retrieval of digital records.
- Support operations in e-archive, archives, and information management, advise and train key stakeholders in archive issues with the document management system.
- Work with classification structures, archive deliveries, organization, inventory, disposal, and staff training.
- Conduct regular audits and quality checks on digital archives.
- Act as an Application Manager for the eArchive. Provide backup support for the document management system, including troubleshooting and resolving issues.
- Collaborate with IT and other departments to ensure seamless integration and functionality of the systems.
This is a full-time position located either in Espoo or Turku, and we also support hybrid working model. - Relevant degree in e.g. Information Science, Library Science, or a related field.
- Experience in managing the digital information life cycle and converting processes to born-digital formats.
- Technical knowledge with experience in digital archiving and document management.
- Knowledge of digital archiving standards and best practices (e.g. OAIS), metadata XML and packaging standards.
- Familiarity with document management systems and records/documents lifecycle management.
- Proficiency in specific software such as:
- Document Management Systems: OpenText xECM, SharePoint, Documentum
- Digital Archiving Tools: OpenText InfoArchive
- Database Management: SQL, Oracle
- Collaboration and communication skills, positive “can do” attitude as well as taking responsibility.
- Team and business first mindset, ability to work, collaborate and communicate effectively with various cross-functional stakeholders.
- Working level language skills in Finnish and English.
- Experience in the pharmaceutical or other highly regulated industry is considered as an advantage.
- Certification in digital archiving or document management is considered as an advantage.
