Job description
The Mail Room Clerk receives, dispatches, sorts and distributes mail from multiple sources. These include, but are not limited to, local and international mail, Diplomatic Post Office (DPO) mail, diplomatic pouch material, and commercial courier services. The incumbent spends a large percentage of time serving customers in the mailroom service window. The position is supervised by the Diplomatic Technology Sub-Unit Chief for Infrastructure.Major Duties: Mailroom Administration and Customer Service
- Ensure the efficient flow of mail to customers and high level of customer service
- Provide incoming and outgoing postal service customers
- Prepares outgoing mail for dispatch
- Utilize local and international courier services as appropriate
- Accept articles for mailing and assist customers with Click-N-Ship usage
- Maintain active and inactive postal directory files
- Issues keys or combinations for individual mailboxes for incoming personnel
- Process mail forwarding requests for departing personnel
- Telephone and written communications related to mailroom services
- Safeguards goods and merchandise transiting through the facility
Official Mail
- Maintains integrity and safety of arriving mail
- Receives and sorts incoming mail accordingly to appropriate organization or person
- Checks and separates outgoing mail for placement to unclassified pouches or local post office
- Records arrival and delivery of all official mail
- Receives training on proper handling procedures and explains to mission officials and employees
- Reports any suspicious items to the Security Office
- Delivery of urgent Embassy origin mail to other foreign government offices and Embassies
- Schedules inter-office mail runs and/or sorts and distributes to office mailboxes
Recordkeeping
- Keeps proper ledgers of mail receipt and delivery to ensure all items are accounted for and properly billed
- Performs standard procedures to process unclassified diplomatic pouch
- Dispatches and receives diplomatic pouches to/from the Department of State and other foreign postal agencies
- Accurate record keeping of invoices and associated materials
- Reports violations of the use of the pouch
- Records and tracks handling of mail to other agency mailrooms and customer delegates
Airport/Freight Forwarder Logistics
- Liaises with contacts to positively influence the flow of Embassy pouch material and Diplomatic Post Office mail
- Interfaces with mid-level Airport Security services, ground handling and customs officials for pick up and delivery
- Includes, on a rotating basis, drives to the airport for pouch pickup
- Driving and accompanying United States Direct Hire employees to the airport
- Retrieves misplaced mail from the Airport cargo holding areas if necessary
- Drives office or cargo vehicles for in-area mail runs in the city and airport
- Vehicle washing and monitoring fluid levels
